Job Description
We are working with a leading IP law firm in their search for a Renewals Manager.
Primary duties:
- Process patent and design renewal reminders and cease notices from relevant IPOs
- Review renewal reminders from overseas agents and forward to clients or internal teams as required
- Investigate renewal-related queries and correspond with clients and foreign agents
- Process UK and European renewal payments and provide client updates
- Instruct foreign agents on renewal payments, monitor progress and report to clients
- Act as the main point of contact for external renewals service providers
- Review and manage renewal batch reports and related documentation
- Maintain renewal accounts and records with external providers
- Produce renewal reports for clients on a scheduled or ad hoc basis
- Provide renewal-related guidance to colleagues and fee earners
- Support and supervise junior team members as required
- Contribute to team development by reviewing and improving processes
Additional duties (as needed):
- Assist with triage and management of incoming email correspondence
- Provide cover for shared team inbox
- Handle general administrative tasks within the Formalities function
Skills and Experience
Essential:
- Previous experience in patent or design renewals administration
- Strong IT skills, including Microsoft Word, Outlook and Excel
- Excellent organisation and time management abilities
- Capable of managing multiple tasks and priorities effectively
- Strong written and verbal communication skills
- High level of accuracy and attention to detail
- Ability to remain calm under pressure and meet tight deadlines
- A proactive team player with a positive attitude
- Able to use initiative and work independently where needed
Desirable:
- Experience supervising or mentoring colleagues
