Night Concierge – Corporate Office – FoH
Lone worker
Shift pattern: 4 on, 4 off
Hours: 20:00–08:00
Primary Responsibilities
- Front Desk Operations
- Greet residents, guests, and visitors in a courteous and professional manner.
- Monitor and control access to the building—verify IDs and visitor permissions.
- Handle key/fob management and maintain accurate sign-in/out logs.
- Ensure accuracy on visitor management system
Security & Safety Monitoring
- Conduct regular patrols of the building/common areas (e.g. every 2–3 hours).
- Monitor and report any suspicious activity or incidents.
- Ensure doors, fire exits, and gates are secure throughout the shift.
- Act as the first point of contact in case of emergencies—liaise with emergency services if required.
Customer Service & Support
- Assist residents and colleagues with general enquiries or concerns.
- Handle parcel and post logging—record deliveries and notify residents.
- Log and escalate maintenance or facilities issues via the correct channels.
Administrative Tasks
- Complete a detailed handover report at the end of each shift.
- Keep incident and visitor and contractor logs updated and accurate.
- Carry out data entry or paperwork as directed by management.
Presentation & Cleanliness
- Ensure the reception area is clean, tidy, and welcoming at all times.
- Report any cleaning or maintenance requirements to the relevant teams.
- Change bins in reception and Café area.
Building Systems & Checks
- Monitor building systems (e.g. fire alarms, lifts, HVAC panels) and escalate faults.
- Conduct nightly checklist rounds—lighting, access points, noise complaints, etc.
- Test fire alarm panel weekly per schedule and ensure all emergency equipment is accessible.
Accepting Deliveries
- Receive and log parcels and post accurately.
- Ensure secure storage of items and keep the post room tidy and organised.
- Handle food and courier deliveries appropriately (e.g. inform residents, restrict access as needed).
Contractor/Weekend Works Management & Checks
- Confirm contractor visits are authorised (check with FM/helpdesk/management).
- Ensure valid work permits, job numbers, or RAMS are provided.
- Record contractor details in the logbook (name, company, time in/out, purpose).
- Check PPE compliance and provide emergency procedure briefing.
- Monitor contractors during their stay and inspect work areas after completion.
- Document all activity and flag any issues or follow-up needs.
Handover & Reporting
- Prepare and deliver a thorough shift handover to the day reception team or weekend concierge or management team.
- Highlight any issues, incidents, or resident feedback requiring follow-up.
