Administration Lead – Baghdad 

About the Opportunity

The Admin Executive – Baghdad is responsible for managing and overseeing the administrative operations of the Head Office, Sales Offices, and Plant facilities, ensuring efficient, compliant, and cost-effective administrative services across the organization.

Key Responsibilities

  • Develop and implement strategies and initiatives to improve administrative processes and organizational efficiency.

  • Supervise, evaluate, coach, and lead the administration team to ensure high performance.

  • Manage third-party service providers and contracts, regularly monitoring service quality and performance.

  • Analyze data from internal and external sources to ensure compliance with administrative requirements, policies, and procedures.

  • Oversee the company fleet (owned and leased vehicles) and monitor the performance of vehicle rental and fleet service providers.

  • Prepare and manage the annual administrative budget, including CAPEX and OPEX planning.

  • Establish, implement, and maintain administrative policies, procedures, and Standard Operating Procedures (SOPs) to ensure consistency, compliance, and operational excellence.

  • Ensure full compliance with internal controls, company policies, legal requirements, and audit standards related to administration, fleet management, contracts, and facilities.

  • Drive cost optimization initiatives across administrative services, fleet operations, and facility management while maintaining service quality.

  • Coordinate facility maintenance, office management, and workplace services to support business operations.

  • Collaborate with internal departments and external stakeholders to ensure smooth administrative operations.

Qualifications & Requirements

  • Bachelor's degree in Business Administration or a related field.

  • 6–8 years of relevant experience in administration, facilities management, or a similar function.

  • Strong analytical and problem-solving skills.

  • Excellent communication and negotiation skills.

  • Proven ability to lead teams and manage cross-functional projects.

  • Willingness to travel domestically and internationally when required.

  • Proficiency in Microsoft Office, particularly Microsoft Excel.

  • Good command of English; knowledge of Arabic and/or Kurdish is an advantage.

  • Adaptable, with openness to change and diversity.

  • Strong team-building and leadership skills.

  • Quality-focused with a results-driven mindset.

  • Excellent interpersonal, stakeholder management, and presentation skills.

  • Strong organizational, stress management, and time management abilities.

  • Good understanding of administrative processes, internal controls, and corporate governance practices.

  • Previous managerial or supervisory experience is an advantage.

  • Demonstrated ability to work effectively with cross-functional teams and senior management.
