TTM Healthcare are proud to partner with our client in the public sector to recruit for a temporary Grade IV Assistant Staff Officer in Kerry.
Location: Tralee 

Position: Grade IV Assistant Staff Officer 
Hours: Full time, Mon-Fri, 9-5 (35 hours a week)

Pay: 19.97- €30.67 per hour depending on previous relevant public sector experience
Contract: month-to-month temporary initial contract


Key Responsibilities

  • Provide high-quality administrative and organisational support to management.
  • Manage the diary, scheduling appointments, meetings and commitments.
  • Monitor and manage emails, prioritising correspondence and bringing urgent or important matters to management attention.
  • Draft, format and proofread correspondence, reports, presentations and other documentation.
  • Arrange and coordinate meetings, including agendas, papers, meeting rooms and other requirements.
  • Attend meetings and take accurate and concise minutes.
  • Circulate minutes and agreed actions promptly and maintain an action log to monitor follow-up.
  • Coordinate travel arrangements, accommodation and itineraries as required.
  • Prepare reports, presentations, spreadsheets and other management information.
  • Maintain accurate records, databases and filing systems.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Liaise with internal departments, external organisations and key stakeholders on behalf of management.
  • Assist with projects and other administrative tasks as required.
  • Proactively manage competing priorities, deadlines and changing requirements.
  • Undertake any other duties appropriate to the role.

Essential Criteria

  • Previous experience in a Personal Assistant, Executive Assistant, Administrative or similar support role.
  • Proven experience managing diaries, emails and meetings.
  • Experience taking accurate and professional meeting minutes.
  • Excellent organisational and time-management skills, with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Ability to work independently and use initiative.
  • Ability to maintain confidentiality and deal appropriately with sensitive information.
  • Strong interpersonal skills and the ability to communicate effectively with people at all levels.
  • Proficient in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.
  • Ability to work calmly and effectively under pressure.
  • Professional, reliable and flexible approach to work.
