Location: Portrane, Dublin
Hours: Monday to Friday, office-based role (35-hour week)
Contract: Until July 2027
Pay: 19.97 30.67 per hour (depending on relevant public sector experience)
Key Responsibilities
The successful candidate will provide high-level administrative and secretarial support within a busy public sector environment, ensuring the effective coordination of office processes and the smooth delivery of administrative services.
The ideal candidate will be highly organised, detail-focused and experienced in providing senior administrative support, managing competing priorities and coordinating office operations.
Duties will include:
- Providing comprehensive secretarial and administrative support within a busy office environment.
- Managing diaries, appointments and schedules, ensuring effective coordination and time management.
- Organising meetings, preparing agendas and taking accurate minutes at both in-person and online meetings.
- Preparing, formatting and managing correspondence, reports and confidential documentation.
- Coordinating meeting arrangements, preparing documentation and circulating relevant information.
- Managing telephone and email correspondence in a professional and timely manner.
- Maintaining confidential files, records and electronic databases in line with GDPR requirements.
- Managing and updating administrative systems and ensuring accurate record keeping.
- Preparing reports, spreadsheets and presentations using Microsoft Office Suite.
- Supporting the smooth running of office processes and administrative functions.
- Prioritising workloads, managing competing deadlines and ensuring tasks are completed efficiently.
- Liaising with internal departments and external stakeholders as required.
- Handling sensitive information with professionalism, discretion and confidentiality.
- Providing administrative support to colleagues and the wider team as required.
Essential Requirements
- Previous experience working as a Personal Assistant, Executive Assistant or Personal Secretary.
- Previous experience providing high-level administrative and secretarial support within a busy office environment.
- Strong organisational skills with the ability to manage diaries, meetings and competing priorities.
- Proven ability to take accurate minutes at both in-person and online meetings.
- Excellent proficiency in Microsoft Office Suite, including Word, Excel, Outlook and Teams.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to manage confidential and sensitive information appropriately.
- Ability to work independently while also contributing effectively as part of a team.
- Professional, reliable and adaptable approach to work.
