Location: Cork City
Hours: Monday to Friday, 9:00am 5:00pm
Contract: Month-to-month rolling contract
Pay: 19.97 30.67 per hour (depending on relevant public sector experience)
Key Responsibilities
The successful candidate will provide administrative support within a busy environment, ensuring the effective coordination of office processes, accurate record management and the delivery of efficient administrative services.
Duties will include:
- Providing administrative support to the department and wider team.
- Managing documentation, correspondence and records with a high level of accuracy and attention to detail.
- Maintaining confidential files, databases and electronic records in line with GDPR requirements.
- Carrying out accurate data entry and updating information systems.
- Preparing reports, spreadsheets, correspondence and administrative documentation.
- Managing reception duties.
- Operating a busy switchboard and handling telephone and email enquiries professionally.
- Managing diaries, appointments, meetings and general office coordination.
- Preparing meeting agendas, taking minutes and circulating relevant documentation.
- Processing invoices, purchase orders and financial documentation.
- Using Microsoft Office Suite, particularly Excel, Word and Outlook, to manage information and produce reports.
- Maintaining effective filing systems and ensuring documentation is processed accurately and efficiently.
- Supporting the development and implementation of administrative procedures and processes.
- Monitoring workloads, prioritising tasks and meeting deadlines in a fast-paced environment.
- Providing guidance and administrative support to colleagues as required.
- Working collaboratively with internal departments and external stakeholders.
Essential Requirements
- Strong administrative experience within a busy office environment.
- Excellent IT skills with strong proficiency in Microsoft Office Suite, particularly Excel, Word and Outlook.
- Experience managing databases, records and confidential information.
- Experience with reception, switchboard and customer-facing responsibilities.
- Excellent organisational skills with the ability to manage competing priorities.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work independently while also contributing effectively as part of a team.
- Professional, reliable and adaptable approach to work.
