Position: Grade III Clerical Officer
Hours: Full time, Mon-Fri, 9-5 (35 hours a week)
Pay: 17.49 - 27.06 per hour depending on previous relevant public sector experience
Contract: 5-month initial contract
Location: Salthill
Overview
We are currently seeking a highly organised and proactive Grade III Clerical Officer to provide administrative and reception support within a busy office environment. The successful candidate will play a key role in ensuring the smooth day-to-day running of the service by supporting internal teams with a broad range of clerical and administrative duties while delivering a professional and welcoming service to staff and visitors.
Key Responsibilities
- Provide front-of-house reception duties, greeting visitors and directing enquiries professionally.
- Answer and manage incoming telephone calls, emails and general enquiries.
- Receive, sort and distribute incoming post and deliveries.
- Provide comprehensive administrative support to internal departments.
- Manage diaries, schedule meetings and coordinate appointments.
- Prepare, process and track Purchase Orders (POs) and invoices.
- Upload, scan and maintain electronic documents and records within internal systems.
- Maintain accurate filing systems, both electronic and paper-based.
- Assist with document preparation, correspondence and data entry.
- Take minutes at meetings and distribute meeting notes when required.
- Support the team with general office administration and ad hoc duties.
- Ensure confidential information is handled in accordance with GDPR and organisational policies.
Essential Criteria
- Previous experience in an administrative, clerical or reception role.
- Excellent organisational skills with the ability to prioritise a busy workload.
- Strong communication and interpersonal skills.
- High level of accuracy and attention to detail.
- Proficient in Microsoft Office, including Outlook, Word and Excel.
- Comfortable learning and using multiple internal systems and databases.
- Experience processing purchase orders and invoices is desirable.
- Ability to work independently and as part of a team.
- Professional, reliable and customer-focused approach.
- Flexibility to work fully onsite in a busy office environment.
Desirable
- Previous experience within the public sector or healthcare environment.
- Experience taking minutes at meetings.
- Familiarity with document management systems or finance systems.
