Provides front-of-house and administrative support, acting as the first point of contact for visitors, callers, and clients while ensuring the smooth and efficient day-to-day running of reception and office operations.
● Greet visitors and clients in a professional, friendly, and welcoming manner
● Manage a high volume of incoming phone calls and emails, directing enquiries appropriately
● Schedule appointments, meetings, and room bookings as required
● Handle correspondence, including preparing, typing, and distributing letters and documents
● Maintain accurate records, databases, and filing systems (electronic and hard copy)
● Process incoming and outgoing post and deliveries
● Provide administrative support to management and team members
● Respond promptly to queries from staff, clients, and the public
● Ensure the reception area is organised, presentable, and operating efficiently at all times
● Assist with data entry, reports, and general office tasks
● Handle confidential information in line with data protection and privacy guidelines
● Support colleagues and contribute to a positive team environment
● Previous experience in a receptionist, front desk, or administrative role
● Excellent communication and interpersonal skills
● Professional telephone manner and customer service skills
● Strong organisational and multitasking abilities
● Ability to work independently and prioritise workload in a busy environment
● Proficient in Microsoft Word, Excel, Outlook, and general office systems
● High level of accuracy and attention to detail
● Reliable, punctual, and professional in appearance and conduct
● Ability to maintain confidentiality and handle sensitive information appropriately
