TTM Healthcare are proud to partner with our client in the Public Sector to recruit a Grade IV Medical Secretary.
Location: Clare, need access to own transport
Hours: 9am to 5pm, 35hours
Rates of Pay: €19.30 – €29.77 depending on previous relevant public experience
Key Responsibilities:
- Manage daily administrative operations, including answering phones, greeting visitors, scheduling appointments, and maintaining patient records.
- Provide support to medical teams by handling correspondence, preparing documents, and ensuring effective communication between staff and patients.
- Accurately type and format documents, referrals, reports, and meeting minutes with a strong emphasis on precision.
- Utilize advanced typing skills to ensure that all documents, patient records, and communications incorporate correct medical terminology.
- Maintain confidentiality and security of files in compliance with data protection standards.
- Ensure that electronic records are up-to-date, accurately filed, and easily accessible for the healthcare team.
- Demonstrate expertise in medical vocabulary to accurately interpret and document clinical information.
- Generate and maintain reports using tools like Microsoft Excel or clinical management software.
- Assist in updating patient databases, coordinating information between various departments, and ensuring the accuracy of clinical data.
- Assist in coordinating meetings, handling travel arrangements for staff, and organising training sessions on new software or compliance updates.
- Ensure that all administrative processes and patient documentation adhere to legal, regulatory, and organisational standards.
Skills and Qualifications:
- Previous Medical Secretary experience required.
- Medical typing and terminology experience necessary
- Proficient with Microsoft Office Suite, especially Excel.
- Comfortable learning and utilising new software as needed.
- Strong attention to detail and highly organised in managing multiple tasks and deadlines.
- Excellent communication skills both verbally and in writing.
- Ability to work independently as well as part of a multidisciplinary team
- Ability to identify inefficiencies in current processes and suggest practical solutions to streamline administrative duties.
