Job Description

Administration Support
Location: Kilkenny

The Role – What You’ll Be Doing

You’ll provide high-level administrative support across operations and management functions. Your responsibilities will include preparing commercial documentation, processing and organising sales orders, coordinating with suppliers and service partners, and maintaining internal systems and scheduling. This role plays a vital part in ensuring the smooth and professional running of daily business functions within a leading provider of IT solutions and support — enabling teams to work securely, efficiently, and with confidence in their technology infrastructure.

Key Responsibilities:

  • Handle client and supplier communications via email and phone in a professional and timely manner
  • Prepare detailed, accurate quotes and manage documentation for sales orders
  • Coordinate procurement processes and product tracking for ongoing projects
  • Organise and schedule client installations and services, ensuring timelines are met
  • Create, update, and maintain databases, forms, and internal filing systems
  • Support the management team with coordination of schedules, reporting, and daily operations
  • Provide ad hoc administrative support across finance, sales, and technical departments
  • Contribute to streamlining internal processes and identifying areas for efficiency improvements

What We're Looking For

We’re seeking an experienced and proactive administrator with experience supporting fast-paced, service-led environments — ideally in the IT or business technology space. You’ll be confident in managing client communications, coordinating internal processes, and ensuring that orders, schedules, and documentation are handled with accuracy and professionalism. The right candidate will bring a proactive mindset, a structured approach to problem-solving, and a genuine interest in how technology can support and streamline business operations. You should take ownership of tasks, anticipate challenges before they arise, and thrive in a setting where efficiency, client service, and confidentiality are key.

Ideal Candidate Will Have:

  • Minimum 3–5 years of administration experience, ideally in an IT environment
  • Proven ability to manage multiple tasks and deadlines with attention to detail
  • Strong written and verbal communication skills
  • Excellent organisational and problem-solving abilities
  • Proficiency in Microsoft Office (particularly Word and Excel); familiarity with CRM systems is a plus
  • Experience working in a fast-paced environment, ideally within the tech, services, or professional sectors
  • Ability to work independently, take initiative, and adapt quickly to changing priorities

Salary & Benefits

  • End-of-year performance bonus
  • Positive, professional working culture in a central Kilkenny location
  • Long-term career growth with a company committed to innovation and client success
