Practically Remote IP Patent Administrator - Permanent

Are you an organised and proactive patent administrator looking to build or further your career within intellectual property?

We are recruiting on behalf of a leading intellectual property practice seeking an IP Administrator to support a key client portfolio within its patents team. This is an excellent opportunity to join a collaborative and professional environment where you will play an important role in managing patent and design matters from instruction through to completion.

The successful candidate will provide high-quality administrative support to Patent Attorneys and clients, helping to ensure deadlines are met, records are maintained accurately, and clients receive an exceptional service.

The Opportunity

This role offers a varied workload, combining patent administration, client support, billing, document preparation and case management responsibilities. You'll work closely with attorneys, fellow administrators and wider business support teams while developing your knowledge of intellectual property processes and procedures.

Key Responsibilities

  • Providing comprehensive administrative and secretarial support to Patent Attorneys.
  • Managing patent and design application lifecycles from receipt of instructions through to completion.
  • Preparing correspondence, reports, presentations, patent specifications and legal documentation.
  • Maintaining and updating electronic case management systems accurately and efficiently.
  • Managing attorney and team inboxes, processing incoming correspondence and ensuring timely responses.
  • Preparing and filing UK, European and international patent and design application forms.
  • Coordinating online filings and processing official fee payments.
  • Monitoring deadlines and ensuring all actions are completed within required timescales.
  • Producing and maintaining client-specific process documentation and procedures.
  • Preparing invoices and supporting electronic billing processes.
  • Assisting with client reporting and responding to client enquiries where appropriate.
  • Organising travel arrangements, accommodation and itineraries when required.
  • Managing expenses and supporting wider team administration.
  • Assisting with onboarding and training of new team members.
  • Supporting business development activities, client meetings and pitch preparation.
  • Providing general administrative support and cover across the team as required.

About You - Key requirements include:

  • A minimum of 2 years previous patent administration experience. 
  • Excellent organisational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritise competing deadlines and remain calm under pressure.
  • Excellent communication and interpersonal skills.
  • A proactive and flexible approach to work.
  • Confidence managing workloads independently while contributing positively to a team environment.
  • Strong Microsoft Office skills, including Word, Outlook and Excel.
  • Experience working with case management systems would be advantageous.
  • A genuine interest in learning and developing within the intellectual property sector.
