Job Description

OBJECTIVES

A key objective of the role is to be involved in the bid management from receipt of the enquiry to ensuring timely submission of the quotations.

Upon subsequent receipt of any order, process the required documentation and hand over to the respective teams within the business giving additional support to the projects team in preparing required site process/documentation.

In general this involves:

1. Book incoming enquires into the quotation database as required.

2. Provide an efficient / timely service to customers and ensure client specified deadlines are achieved and unspecified quote dates are turned around in 14 days maximum.

Where applicable any product quotes are to be turned around in 7 days maximum.

3. Presentation of quotations in line with the company upmarket image, utilising standard templates available.

4. Understand / familiarise oneself with contract terms and conditions to ensure risks are identified and qualified where appropriate.

5. Support business development managers in pre-post tender client meetings

6. Cost effective evaluations of projects on receipt of enquiry and obtain a practical solution to manufacturing.

7. Organise Launch and contract review meetings.

8. Compile sub-contractor and specialist materials enquiries as required, ensuring despatch in a timely manner in line with quotation deadline. Evaluate subsequent quotations for use in our tender packages. Ensure the most competitive bids are obtained.

9. To arrange as required to discuss profit margins and sales targets on particular projects prior to quotation despatch.

10. Ensure estimates are complied on in-house bespoke computerised estimating system.

11. Contribute to Research and Development as requested.

12. Use I.T skills to develop and contribute to systems within the Estimating Department as required.

13. Take ownership of the sub-contractor database and maintain on behalf of the Department.

14. Attend post-tender meetings with clients as required.

15. Contribute to weekly / monthly Sales meetings as required and attend the monthly Project Meeting as required. Assist in the production of daily, weekly, and monthly departmental reports as required.
