Job Title: Advice Operations Administrator / Financial Services Administrator

Location: Remote – UK

Quarterly in-person team meetups, with all travel and accommodation expenses covered. 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ

Working Hours: 40 hours per week

Flexible working with core hours of 9:30am – 3:30pm, giving you flexibility around your start and finish times.

We’re now looking for an Advice Operations Administrator to join the team. This opportunity is designed for someone starting out or in the early stages of their career within financial advice or advice operations.

You’ll provide administrative support to the Paraplanning and Advice teams and their clients, while learning the fundamentals of financial advice and advice operations and developing your knowledge of the wider financial services profession.

Package Details:

The successful candidate will receive a basic salary of £28,000 - £32,000 depending on experience & qualifications.

Purpose of the role:

As an Advice Operations Administrator, you’ll provide day-to-day administrative support across the Advice Operations and Advice teams, helping ensure advisers, paraplanners and their clients receive an efficient and organised service.

The role is particularly suited to someone at the beginning or early stages of their financial services career who wants to build a strong understanding of how a modern financial planning business operates.

Alongside your core administrative responsibilities, you’ll have the opportunity to shadow Junior Paraplanners, develop your knowledge of financial services and work towards relevant professional qualifications.

Duties and Responsibilities:

Your duties will include, but not be limited to:

  • Supporting the Advice Operations and Advice teams with day-to-day administrative tasks
  • Managing Adviser and third-party email correspondence through a shared mailbox
  • Handling incoming and outgoing telephone calls, ensuring communication is always clear and courteous
  • Drafting, proofreading and sending letters as required
  • Organising, maintaining and updating client files using Zoho WorkDrive
  • Organising and maintaining client records through Zoho CRM
  • Sorting, distributing and managing incoming and outgoing post efficiently
  • Completing basic AML checks on client identification
  • Compiling MI data into spreadsheets for Senior Managers
  • Helping ensure client information and documentation is accurately maintained
  • Maintaining compliance with financial regulations and internal policies
  • Shadowing Junior Paraplanners to develop your knowledge and understanding of financial services

Experience required:

  • Strong organisational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, including Word, Excel and Outlook
  • Previous financial services experience is desirable
  • A willingness to learn and develop within financial advice and advice operations
  • Willingness to work towards relevant professional qualifications, such as CII, CISI or LIBF
